Responsibilities

The Electronic Health Records (EHR) System Analyst is responsible for maintaining, testing, optimizing, and supporting the St. John’s Medical Group’s EHR system to ensure efficient and compliant operations across all clinical and administrative functions. The Analyst collaborates with the IT team, SJMG Operations Leadership Team, and the SJMG Senior Leaders to troubleshoot issues, implement system enhancements, maintain data integrity, and support reporting requirements.  The Analyst also plays a key role in user training, compliance auditing, and documentation management.

Generate daily/monthly, and ad-hoc reports as needed.

Set-up and manage end-user security access, ensuring proper permissions and system roles.

Support Providers with setup and access requests, i.e., Dr. First enrollment.

Train end-users on EHR system functionality, data entry, best practices, and record scanning protocols.

Troubleshoot software, hardware, and interface communication issues by working collaboratively with the Medgen Support Team and Operations Team to ensure timely and effective resolution of reported problems, minimizing disruptions to clinical and administrative workflows.

Create, test, and work with Medgen Support Team to load forms, such as encounter entry, superbill, patient letters and patient registration forms.

Design, test, and maintain reports used for patient statistical and gaps-in-care reporting, including, but not limited to office visits and MIPS reporting.

Maintain and test office downtime procedures and workflow recovery protocols.

Maintain and update documentation on menus, reports, and forms in both the "test" and "live" environments.

 Coordinate the migration of patient records and clinical data from EHR systems acquired through Practice mergers or acquisitions.

Collaborate with Hospital IT staff, external vendors, and system stakeholders to ensure accurate data mapping, secure data transfer, and successful integration into the existing EHR system.

Validate migrated data for completeness and accuracy while ensuring adherence to HIPAA and other regulatory standards.

Conduct audits as required to meet EHR compliance regulations.

Assist in creating, testing of system upload/download and interface connections, i.e., Lab results and Regional Health Information Organization (RHIO) bi-directional communication.   

Conduct ongoing audits to ensure compliance with EHR and health information regulations.

Performs systems/applications analysis for the SJMG.

Creates functional specifications for the SJMG.

Assist in special projects and other duties as assigned.

Maintain a respectful and positive working relationship with insurance companies, co-workers, and other departments.

Abide by all HIPAA policies and procedures pertaining to Patient Health Information.

Adhere to St. John’s Riverside Hospital attendance and punctuality policy, This includes the following: (1) being at your work station ready for work by the start of your shift (2) taking only the time allowed for breaks (3) remaining at work during your entire shift, unless excused by a supervisor (4) leaving promptly at the end of your shift, unless you have been given advance permission from your supervisor to work past that point; and (5) calling in and personally notifying your supervisor or another member of management if you are going to be either absent or tardy, unless a verifiable emergency makes it impossible for you to do so.

Highly proficient in Microsoft Excel and other MS Office tools, including use of pivot tables and database management.

Strong working knowledge of EHR system functionalities in both practice and hospital settings.

Understanding of health record maintenance standards and compliance requirements.

Excellent communication and customer relationship skills.

Experience in programming within a healthcare-related role is preferred.

 

Sitting, standing, walking, bending, good vision, mental alertness, filing.

Driving between Practice locations, Main Hospital and primary work location as needed.

 

Well-lighted and ventilated office.

Working at desk most of day.

Extended exposure to a computer screen

Other duties as assigned.

 

 

 

 

 

Qualifications

Required:

Bachelor’s degree in computer science or related field.

Three (3) to five (5) years of Management of Information Systems.
