Responsibilities

Under the leadership of the Supervisor and Assistant Director of Central Scheduling, performs a variety of duties related to Scheduling, authorizations, pre-registering, and registering of patients for radiology and some ancillary services on the main hospital campus and off sites. The Scheduler is responsible for obtaining and entering orders, from electronic faxes or physician offices for scheduled/nonscheduled tests or procedures. The Scheduler ensures all exams are scheduled accordingly and provides clear and accurate instructions/information to patients regarding their upcoming procedures. The Scheduler is responsible for entering complete and accurate data using the appropriate computer systems, verifying demographic and insurance information, and ensuring required authorizations are in place, when applicable. This position serves patients, physician’s offices, and other customers, and requires excellent communication and customers service skills.

 

1. The Scheduler performs all duties and functions in relation to the Scheduling, Pre-Registration, and Registration of radiology exams and procedures.

2. Effectively handles 80-100 calls per day with minimal or no error. Fields incoming scheduling calls, keeping an accurate record of appointments scheduled, changed, or cancelled to avoid over-or under-booking.

3. Schedules procedures/exams via the hospital’s information system(s) following established protocols that promote physician satisfaction and scheduling efficiencies. Schedules testing and referred outpatients to the appropriate site, utilizing established criteria. Coordinates stat scheduling directly with the appropriate technologists and physicians.

4. Performs correct name, date of birth, social security number inquiry when applicable and identifies patients according to policy/procedure with no errors. Utilizes various methods for proper patient search engines such as SCI Solutions, Meditech, etc. Establishes patient Medical Record number to minimize the medical risk to patients.

5. Interviews the patient and/or their representative in person or by telephone to collect demographic, insurance, financial, and medical information.

6. Advises patients and physician’s office personnel of required preparation and instructions for scheduled procedures as necessary.

7. Practices proper phone etiquette and are always courteous and respectful towards patients, referring physician offices and co-workers. Demonstrates outstanding customer service in all interactions with internal and external customers.

8. Consistently demonstrates appropriate and professional communication behavior toward patients, customers, and coworkers. Cooperates with Management and peers to promote an environment of teamwork and collaboration. Collaborates with other departments to meet the needs of the patient and the organization.

9. Answers the telephone always identifying self and department name in a professional and polite manner, communicates information to appropriate personnel.

10. Schedules patient appointments called in and/or submitted electronically by patients, physicians, and physician offices.

11. Reviews all scheduled appointments for patient and/or registration instructions, insurance verification, ordering physician name, and cross references the prescription with actual appointment booked for any discrepancies to ensure proper testing and patient safety.

12. Accurately enters physician orders into the Scheduling System and/or Meditech. Responsible for analysis of physician written order. Communicates with physician, office, and patient regarding written order when necessary. Contacts physician office to obtain prescription and/or updated prescription.

13. Inputs diagnosis (dx code) from the prescription into the Scheduling System and/or Meditech to finalize the appointment/registration. Contacts physician office for diagnosis if necessary.

14. Demonstrates a clear understanding of Medicare Medical Necessity and compliance requirements. Accurately screens all applicable Medicare tests for complete orders and screening the diagnosis for medical necessity. Completes an Advanced Beneficiary Notice (ABN) for failed tests and explains the financial responsibility to the patient when applicable.

15. Ensures required laboratory testing and clinical information is obtained prior to the scheduled appointment.

16. Processes faxed and electronic patient orders according to established guidelines. Completes all assigned work list duties in a timely manner.

17. Obtains prior authorization, benefits, and coverage information within specified timelines. Verifies insurance via hospital insurance verification systems, telephone, and/or web-based systems.

18. Notifies Supervisor/Manager concerning scheduled procedures/exams that do not meet the hospital’s financial policy criteria. Informs patient of any financial liability when applicable and/or refers patient to Financial Department when financial arrangements need to be made.

19. Obtains accurate patient demographic and insurance information, enters into computer systems (SCI, Meditech, Clearwave). Updates information in the computer system for return patients.

20. Obtains the required legal signatures on all registration forms for the hospital and witness (legibly) with no omissions. Explains to the patient in a concise manner what each form represents. Provide information to the patient/representative about Patient/Parent Bill of Rights, HIPAA, etc.

21. Prepares daily patient schedules and/or statistical reports for the Scheduling, Radiology Department, and other departments.

22. Works additional hours or shifts when needed. Cross trains and/or provides training when assigned.

23. Works with Management on preparation of daily action plans and scheduling.

24. Point of contact for Physician Office, Registration Department, and other departments requiring assistance in collaboration with Management.

25. Reassigns work throughout the shifts as needed when staffing levels are impacted during the absence of Management.

26. Assists Management with troubleshooting between departments, entities, and software.

27. Training office staff. Assist with enrolling practices and ensure all forms are complete and filed appropriately for compliance. Perform initial product training, remedial training as needed/requested.
28. Promotes positive interactions with co-workers and contributes to a positive perception of the organization by providing high quality customer service to patients and guests.

29. Follows St. John’s Riverside Hospital attendance policy.
Regular attendance and timeliness are required in your job. This includes the following: (1) being at your work station ready for work by the start of your shift (2) taking only the time allowed for breaks (3) remaining at work during your entire shift, unless excused by a supervisor (4) leaving promptly at the end of your shift, unless you have been given advance permission from your supervisor to work past that point; and (5) calling in and personally notifying your supervisor or another member of management if you are going to be either absent or tardy, unless a verifiable emergency makes it impossible for you to do so.

Qualifications

• Minimum of one year experience as a scheduler and has previous professional experience within a medical setting (doctor’s office, hospital).

• High school graduate or equivalent required.
• Knowledge of medical terminology, radiology exams and procedures, and medical health insurance required.
• Demonstrated ability to multitask between heavy phone volume, multiple computer systems, and frequent interruptions.
• Will be required to learn and work with multiple software/hardware products during an average workday.
• Must possess excellent customer service, and telephone skills.
• Ability to effectively communicate in English, both verbally and in writing.
• Fluent bilingual competencies (Spanish and English) required.
