Responsibilities

The Administrative Project Manager (APM) is an onsite manager, responsible for direct support of the Senior Director per tasks identified below.

The APM provides the following supportive tasks:

  • Attendance and active participation in planning and development Maintain formal minutes and attendance sheets for these meetings.
  • Maintain all project spreadsheets to track activity, issues, vendor payments, project progress, etc.
  • Track all Capital/Grant expenditures by project to ensure spend is within
  • Maintain all proposals, purchase requisitions/orders, invoices, and any other relevant documents for each All to be filed in an organized manner for ease of reference.
  • Liaison/communication with all project consultants to assist Senior Director with clear, concise, and accurate communications that foster timely and quality completion of projects. These consultants include but are not limited to:
    • Architects/Engineers
    • Construction Company Representatives
    • City Officials (City Building Department, etc.)
    • Building Trades
    • Vendors
  • Collaborate with City Officials, SJRH Government Liaison and Contractors in regard to securing work permits and monitoring expiration dates.
  • Assist as needed with contract negotiation process in collaboration with Hospital Counsel, Senior Director, and contractor/vendor.
  • Maintain copies/files of all contracts and assist Senior Director with monitoring for timely and accurate completion.
  • Assist Senior Director with proposal leveling and maintain documents for each
  • Assist with organizing and facilitating all project meetings. Document formal minutes for each meeting and maintain attendance sheets.
  • Track all inspections for projects to ensure timely completion.
  • Assist upon request with CON or Grant related information.

 

Qualifications

 

  • Must possess an Associate Degree. Bachelor's preferred.
  • Minimum experience of 3 years of office experience is required.
  • Minimum two years of project management experience in engineering and/or related special projects preferred.
  • Excellent verbal and written communication skills is needed.
  • Proficiency in Windows and Microsoft Office applications is needed.
  • Valid NY State Driver's license or ability to travel within Westchester County is required.
