The Administrative Project Manager (APM) is supports the Senior Director. Duties include: Attendance and active participation in planning. Maintains formal minutes and attendance sheets for meetings. Maintains project spreadsheets to track activity, issues, vendor payments, project progress, and other related activities. Tracks all Capital/Grant expenditures by project to ensure spend is within budget. Maintains all proposals, purchase requisitions/orders, invoices, and any other relevant documents. Liaison/communication with all project consultants to assist Senior Director with accurate communications that fosters timely and quality completion of projects. Consultants include Architects/Engineers,Construction Company Representatives, City Officials (City Building Department, etc.), Building Trades and Vendors.
Collaborate with City Officials, SJRH Government Liaison and Contractors in regard to securing work permits and monitoring expiration dates.
The Project Manager also assists as needed with the contract negotiation process in collaboration with Hospital Counsel, Senior Director, and contractor/vendor. Maintains copies of files for contracts and assists the Senior Director to assure timely and accurate completion of contracts and projects. Assists the Senior Director with proposals and maintains documents. Assists with organizing and facilitating all project meetings. Responsible for the taking and issuing formal minutes for each meeting and maintains attendance sheets. Tracks all inspections for projects to ensure timely completion. Assists with Certificate of Need or Grant related information.
Associate's Degree required; Bachelor's degree preferred. Minimum experience of 3 years of office experience is required. Minimum two years of project management experience in engineering and/or related special projects preferred. Excellent verbal and written communications skills required. Excellent Microsoft Office knowledge including Outlook, Word, Excel and PowerPoint required. Valid NY State Driver's license or ability to travel within Westchester County required.
