Responsibilities

 

The Anesthesia Administrative Coordinator provides comprehensive administrative and operational support to the Anesthesiology team of the Nursing Operating Room Department. This role ensures efficient scheduling of the Anesthesiology team, compliance with regulatory standards, and coordination of resources to optimize patient care and departmental workflow. The coordinator acts as a liaison between the anesthesia providers, nursing leadership, surgical teams, and administrative staff.

 

Manage anesthesia provider schedules, including on-call rotations and vacation requests.

Assists with daily anesthesia staffing coordination/communication to OR, OB and non-OR locations at St. John’s Riverside locations

Support site Anesthesia director in the creation, maintenance and distribution of daily anesthesia and call schedules via Qgenda

Assist with tracking, ordering, and receipt of anesthesia equipment and supplies

Print, collate, organize and scan documentation required for anesthesia billing, and coordinate with billing teams to resolve missing documentation.

Maintain accurate records of anesthesia staff credentials, licensure, and continuing education.

Prepare departmental reports, meeting agendas, and minutes.

Assist with budget tracking and supply ordering for anesthesia services.

Additional duties as assigned

Ensure adherence to hospital policies, Joint Commission standards, and state/federal regulations.

Support quality improvement initiatives and data collection for performance metrics.

Serve as the primary point of contact for anesthesia-related inquiries.

Facilitate communication between anesthesia providers, surgical teams, and administrative leadership.

Serve as liaison between St. John’s anesthesia providers and administrative staff at Montefiore Medical Center

Performs other related assigned duties.

 

 

 

Qualifications

Minimum 2–3 years in healthcare administration or perioperative services. Experience with anesthesia or surgical scheduling strongly preferred. Strong organizational and multitasking abilities. Proficiency in scheduling software and electronic health records (EHR). Excellent communication and problem-solving skills. Knowledge of Qgenda scheduling software preferred. Demonstrated proficiency with Office 365 required including Word, Outlook, Excel and PowerPoint. Knowledge of anesthesia workflows and perioperative processes. Familiarity with credentialing and compliance requirements. Ability to work collaboratively in a fast-paced environment

Associate’s or Bachelor’s degree in Healthcare Administration, Nursing, or related field preferred.
